Staff can work. The owner’s vault stays yours.

A two-person office breaks the moment both people use one WhatsApp and one phone. The junior forwards a listing to a buyer and the owner’s number goes with it. Or the junior leaves, and the listings leave in their personal chat. Estavik is built so staff can work the public side of a listing while the vault stays with the account owner.

What staff can do

• Sign in with their own phone number.
• See listings you assigned, add photos, and talk to customers they created.
• Make a share link from public fields.
• Keep their own follow-ups.

What staff cannot do

• Open the owner vault or the bottom price.
• Delete listings or change the status on their own.
• Read your commission records.
• See listings you did not assign.

If a site visit truly needs the owner’s number, staff send a request. You approve it for a limited time. When they leave the firm, you remove the login. The listings stay on the company account because they were never only inside someone’s personal WhatsApp.

Basic includes 1 staff login, Pro 3, Platinum 10. The free plan is for one person. Free plan: 5 listings, 10 photos each, 3 AI text queries a month. Basic is Rs.249, Pro Rs.449, Platinum Rs.999 per month, before tax. Paid plans add 18% GST. Pair this with the owner vault so the rule is clear on day one.

Set the account up in the firm’s name

The login that owns the vault should be the person who pays the owners, not the newest joiner. On the first morning, create the Estavik account on that phone. Add staff from Basic upward: one seat on Basic, three on Pro, ten on Platinum. Assign only the listings that person will show. A staff member in Coimbatore who covers Ganapathy does not need the RS Puram book, and should not have it.

When someone leaves, remove the seat the same day. Their follow-ups can be reassigned. The listings do not move to their personal WhatsApp because the photos and the vault never lived only there. If they photographed a site on the company phone, those photos stay on the listing. If they used their own phone for a share link, deactivate that link so an old URL does not keep opening.

A practical rule for the office group: nobody pastes an owner number into the staff WhatsApp “just this once”. If a visit needs the owner, the account owner approves a timed vault request for that one listing. The request expires. Write this rule on a paper in the office. The app enforces it. The paper reminds people why.
